Copies

Copies of the records preserved in the Archivio centrale dello Stato can be made subject to authorisation. Copying via a photocopier, digital camera, digital scanner and CD/DVD burners is carried out by internal personnel in charge of the service. Requests for copying must be made on the special form (available in the Reading Room) following the instructions given by the staff.

Reproduction of documents is not permissible in the case of: bound documents, documents which can deteriorate easily or are in a poor state of conservation, maps and drawings which exceed an A3 sheet size. Every scholar can request up to a maximum of 800 photocopies per calendar year. For prices, please refer to the ACS pricelist.

Copies for administrative purposes A certified copy and a certified true copy of the original document can be requested.

Digital reproductions with a personal camera or video camera Subject to permission from the member of staff in the Reading Room, scholars are allowed to reproduce the archival material using a personal digital camera. Requests for copying must be made on the special form (available in the Reading Room) and the instructions given by the staff must be followed. The costs of photographing the original documents using a personal camera was established for each individual conservation unit by the Circular Letter No. 21 of 17 June 2005 by the Directorate General of the Archives of the Ministry of Cultural Heritage and Activities (see ACS Prices).

Reproductions of microfilms They are available in the microfilm reader room. You can make your personal copy of the microfilms you have consulted.

Reproductions of film clips Copies of the film clips preserved in the Archivio centrale dello Stato are subject to authorisation and can be made by completing the appropriate form. For prices, please refer to the ACS pricelist.

Payment procedures Payments for copies are made in advance:

  • At the cashier’s office (Monday-Friday 9.00 a.m. – 2.00 p.m.; 3.00 – 6.30 p.m., Saturday 9.00 a.m. – 1.00 p.m.);
  • By post office current account payment slip in the name of Archivio Centrale dello Stato, ple. degli Archivi, 27 – 00144 Rome – C/A 25895798;

Authorisation to use images of the documents

In order to be able to publish or use a facsimile of the records of the ACS, the applicant is obliged to send the Superintendent an application for the authorisation for publication stamped with a duty stamp (Euro 16.00).

Once the researcher has obtained the authorisation, he shall cite in the publication:

  • the Archivio centrale dello Stato, as the holder of the edited document, together with the complete archive catalogue number of the material;
  • the mention permission granted by the Ministero dei beni e delle attività culturali e del turismo (Ministry of Cultural Heritage and Activities and Tourism);
  • details of the authorisation (Archivio centrale dello Stato, year, number of the authorisation given).

Furthermore, the researcher shall always provide the Archivio centrale dello Stato with a copy of the work in which the reproduction has been included. The validity of the authorisation for publication is restricted to one country only and to the first edition of same; specific permission shall be requested for any additional uses.

Rights of publication In the cases specified in the Reading Room Regulation, the applicant shall pay the Administration for the rights of publication (see in particular point VII of the Regulation).
